Position:                      ADMINISTRATIVE ASSISTANT

                                    (Admissions & Student Affairs)

Time Required:     Full-Time (40 Hours per week)

Employee Status:  Hourly/Non-Exempt

Accountability:      Director of Admissions & Director of Student Affairs

Shift:                    8:00 a.m. – 5:00 p.m. (Mon – Thurs); 7:30 a.m. – 4:30 p.m. (Fri)

Position Duties and Responsibilities:

For Admissions:

  • Performs data entry and mailings on a daily basis
  • Filing
  • Inbound and outbound calls
  • Provides campus tours and meets with prospective students and applicants
  • Proctors entrance exams each week
  • Assembles and maintains student files
  • Meets with walk-ins
  • Assists Admissions team with event coordination, planning, and management
  • Will occasionally travel and represent the College throughout Maine at college fairs, job fairs, etc.
  • Other duties as assigned

For Student Affairs:

  • Provides clerical support to Director of Student Affairs
  • Meets with students
  • Inbound and outbound calls
  • Takes meeting minutes
  • Helps maintain scheduling database
  • Assists with registration
  • Assists with reports, research and statistics
  • Assists with event coordination, planning, and management
  • Assist with Front Office duties and coverage as needed
  • Other duties as assigned

Required Skills & Knowledge:

  • Strong attention to detail and outstanding customer service
  • Ability to multitask, change tasks and shift gears is a must
  • Strong computer skills (Word, Excel, Publisher, Database management)
  • Demonstrate a positive attitude and must enjoy helping people
  • Ability to maintain confidentiality of records, documents, and student information
  • Ability to operate a variety of office equipment
  • Excellent written, oral, and interpersonal communication skills
  • Must possess a valid Maine driver's license


Will be required to work some evenings, weekends, and use own vehicle for occasional travel in Maine.
